Table Cancellation

How table cancellations work and what happens when a host cancels a session.

1. What is Table Cancellation?

A Table Cancellation happens when a host decides to withdraw or stop a scheduled table session. This could be due to changes in timing, scheduling conflicts, or any reason that prevents the host from conducting the conversation as planned.

At Tables.im, transparency matters — so when a table is cancelled, everyone involved is informed quickly and clearly.


2. Who Can Cancel a Table?

Only the host (table owner) can cancel a table. Participants do not have the ability to cancel a table but can leave it anytime from their dashboard.

If the original host has already transferred ownership to another participant, the new host inherits full control — including the ability to cancel the table.


3. How to Cancel a Table

Hosts can cancel a table directly from the Manage Tables section in their dashboard.

  1. Go to your Dashboard → Manage Tables.
  2. Select the table you wish to cancel.
  3. Click the Delete Table button.
  4. Enter a short note explaining the reason for cancellation.
  5. Confirm the cancellation.

Once confirmed, the table is marked as Cancelled and removed from public discovery listings.

Note: Cancelled tables cannot be reactivated. You can always create a new table on the same topic later.

4. Participant Notifications

When a host cancels a table, all approved participants automatically receive an email notification.

The email includes:

  • The table name and original date/time
  • The cancellation reason note shared by the host
  • A friendly message encouraging participants to explore similar tables

This ensures everyone stays informed and avoids confusion or missed sessions.


5. Best Practices Before Cancelling

Cancelling a table should always be the last option. Before you do, consider:

  • Transferring Ownership: If you can't host it yourself, transfer ownership to another approved participant.
  • Notifying Early: Cancel at least a few hours before the scheduled time whenever possible — it shows respect for participants' time.

6. What Happens After Cancellation

Once a table is cancelled:

  • The table status is updated to Cancelled and hidden from discovery.
  • All participants receive an email notification with your note.
  • The table remains visible in your dashboard for reference but marked as Cancelled.

Participants can no longer access or interact with the table, and no new join requests will be accepted.


7. Maintaining Good Hosting Etiquette

At Tables.im, hosts play a vital role in keeping the community vibrant and reliable. Cancelling is sometimes necessary — but communication makes all the difference.

  • Be honest and transparent about why you're cancelling.
  • Give attendees time to adjust their schedules.
